This Privacy Policy explains what information Cliniinfo collects when you use the Cliniinfo website, organization websites on Cliniinfo and the Cliniinfo mobile app (together, the "platform"), how it is used and shared, and the choices you have. It is published in accordance with the Information Technology Act, 2000 and the rules made under it, and other applicable Indian law.
1. Information we collect
Account information
Accounts are created by your institute or organization, or by the Cliniinfo team. An account holds your name, email address, mobile number, the organization you belong to, and account details such as its validity date. Your password is stored only in encrypted (hashed) form; nobody at Cliniinfo can read it.
Access by network (IP address)
Some organizations give access to everyone on their network. In that case the platform recognises the network by its IP address and may let you use the library without an individual account.
Usage information
To run the service and to report usage to the organization that provides your access, the platform records:
- sign-ins: date, time and IP address;
- the journals, articles, books, guidelines, videos and conference proceedings you open or download;
- visits to certain pages, such as conference proceedings.
Article requests
When you request an article, the platform stores the article details you entered, any note you add, and the progress of the request (approval, delivery or the reason it could not be supplied).
Consent records
Where an organization asks its users to accept a consent statement, the platform records that you accepted it.
Mobile app
If you use the mobile app and allow notifications, the app stores a device token so that the platform can send you notifications, for example when a requested article is available.
2. How we use information
- to create and manage your account and let you sign in;
- to show you the resources your organization has made available to you;
- to process article requests and tell you about their progress by email, WhatsApp message or app notification;
- to give your organization reports on how its library is used;
- to keep the platform secure, prevent misuse and investigate problems;
- to improve the platform and its content;
- to meet legal obligations.
3. Cookies and similar technologies
The platform uses cookies that are necessary for it to work: a session cookie that keeps you signed in, a security token that protects forms, and, if you choose "Keep me signed in", a cookie that remembers your sign-in. Your browser may also store small preferences, such as a remembered filter. You can block cookies in your browser, but you will then not be able to sign in.
4. Sharing of information
We do not sell your personal information. We share it only:
- with the organization that provides your access – its administrators can see your account details, your article requests and reports of your use of the library;
- with service providers that run parts of the platform for us – such as cloud hosting and file storage, email delivery, WhatsApp messaging and mobile notifications – who may use the information only to provide that service;
- when required by law, or to protect the rights, safety and security of users, the platform or others.
When the platform looks up article details in external databases such as PubMed, only article identifiers (such as a DOI or PubMed ID) are sent, not your personal details.
5. Storage and security
Information is stored on secured servers and cloud storage. We use reasonable security practices, including encrypted connections (HTTPS), hashed passwords, encrypted storage of sensitive settings and access controls that limit each user and organization to its own data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
6. How long we keep information
We keep account information while your account or your organization's subscription is active, and usage and request records for as long as needed for the purposes above, for your organization's reports and to meet legal requirements. After that, information is deleted or anonymised.
7. Your choices and rights
Subject to applicable law, you can:
- see and update your profile details from My Account;
- ask for a copy of, or correction of, your personal information;
- ask for your account to be closed and your information to be deleted, where we are not required to keep it;
- withdraw a consent you have given (this may mean you can no longer use the service);
- raise a grievance about how your information is handled.
Because accounts are provided through organizations, some requests may be handled together with your organization.
8. Children
The platform is intended for doctors, healthcare professionals and students who use it for educational and professional purposes. It is not intended for children.
9. Changes to this policy
We may update this Privacy Policy from time to time. The updated policy will be published on this page with its date. Please check it from time to time.
10. Contact and grievances
For questions, requests or grievances about your personal information, please contact us using the details on our Contact Us page. We will respond within the time required by applicable law.
